Privacy Policy

Equiply helps organizations schedule shared resources, manage work, and communicate with their members. This policy explains what information Equiply processes, why it is used, and the choices available to you. Your use of Equiply is also governed by our Terms and Conditions.

Information we process

• Account and profile information, such as your name, email address, phone number, profile photo, organization, role, and authentication information.
• Workspace information, including resources, bookings, availability, groups, announcements, messages, uploaded files, administrative settings, and audit events.
• Technical and security information, including device and browser data, IP address, session information, diagnostic logs, and activity needed to secure and operate the service.
• Payment and plan information. Payment card details are processed by our payment provider rather than stored directly by Equiply.

Google and Gmail data

If you choose to connect a Google account, Equiply requests access only after you give consent. The connected-mail feature may read, display, compose, send, organize, and delete Gmail messages and folders at your direction. Equiply also receives the connected account's email address and an authorization token that allows the connection to continue.

Equiply uses Google user data solely to provide and maintain the user-facing connected-mail features you request. We do not use Gmail data for advertising, credit decisions, or sale to data brokers. We do not allow humans to read Gmail content except with your affirmative permission for support or security, when required by law, or when necessary to investigate abuse.

Equiply's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Storage, protection, and retention

OAuth refresh tokens and other stored mailbox credentials are encrypted. Mail content is retrieved from the provider when you use the connected-mail feature; Equiply does not create a permanent archive of your entire mailbox. Information is retained only for as long as needed to provide the service, comply with legal obligations, resolve disputes, and protect the service.

Sharing

We may share limited information with infrastructure, communications, storage, security, analytics, and payment providers that process it on our behalf under contractual safeguards. We may also disclose information when required by law, to protect rights and safety, or as part of a business transaction with appropriate notice and protections. We do not sell Google user data.

Your choices and deletion

You can disconnect a mailbox from Equiply at any time in the mail settings. Disconnecting removes Equiply's stored authorization credentials. You can also revoke access in your Google Account connections. Workspace members may update available profile and privacy settings or request access, correction, export, or deletion by contacting us. Some security and audit records may be retained where legally or operationally required.

Security and international processing

We use administrative, technical, and organizational safeguards designed to protect information. No service can guarantee absolute security. Information may be processed in countries where Equiply or its service providers operate, subject to applicable safeguards.

Children

Equiply is intended for organizations and is not directed to children under 13. Organizations using Equiply are responsible for ensuring they have an appropriate legal basis for accounts they create or invite.

Changes and contact

We may update this policy and will change the date above when we do. Material changes will be communicated when required. Questions or privacy requests may be submitted through the Equiply support form available from the application.
